How to use the Itinerary Creator
Getting started
1
Pick a city first
Click one of the city cards at the top of the Details tab. The cover photo and city intro update instantly. For international or custom moves, leave the city blank and type into Custom City and Country.
2
Fill in the assignee details
Enter the assignee's name, title, company and travel dates. Every field you fill appears immediately in the live preview on the right. Empty fields are hidden — nothing blank prints.
3
Add your consultant details
Enter your name, phone and email in the Consultant tab. Upload a photo — this appears on both the cover and footer. Add a second consultant if needed.
Building the agenda
4
Build your programme day by day
Open the Agenda tab. Each day has a date and a list of time slots. Click + Add Item to add activities, meals, drives or meetings. Click + Add Day for multi-day programmes. Set the arrival date first — all day dates auto-populate.
5
Use the right activity type
Each item has a type badgeMeeting, Activity, Drive, Meal, Return. Choose the correct one so the right colour and icon appear in the printed schedule table.
Logos & extras
6
Upload RMC and client logos
In the Extras tab, upload the RMC logo (e.g. Aires) and the client company logo. These appear on the cover page. PNG with transparent background works best.
7
Add key location info
Fill in Hotel, Office, Nearest Metro, Hospital and Airport in the Extras tab. These appear as info cards on the Programme at a Glance section. Leave blank to hide any card.
8
Add a consultant note
The Notes field in Extras adds a highlighted note card from the consultant. Good for weather warnings, cultural tips or parking instructions.
Saving as PDF
9
Click “Save as PDF” — do not use Ctrl+P
Always use the ↓ Save as PDF button. It prepares the document and loads the cover photo before opening the print dialog. Using Ctrl+P directly may print before the photo loads.
10
Set these options in the print dialog
In the browser print dialog: set Destination to Save as PDF, Paper size to A4, Margins to None, and turn Background graphics ON. Without background graphics, all IKAN colours will disappear.
11
Chrome gives the best results
Google Chrome produces the most accurate PDF output. Safari and Edge also work well. Firefox may clip some colours. If the cover photo is missing, wait a few seconds after opening the file and try again — it loads in the background.
12
File must be open in a browser, not a PDF viewer
Open the .html file in Chrome or Safari (double-click or drag to browser). Do not view it inside a PDF reader or email client — the Save as PDF button only works in a web browser.
